When a Customer Files a Claim
- Look up the customer's purchase in the CRM
- Click 'File Warranty Claim' on the relevant invoice line item
- The system automatically checks if the item is still under warranty
- If covered, select the claim type and document the issue with photos and notes
- Choose the resolution: repair, replace, refund, or exchange
- Track the claim through resolution — the customer can be updated automatically via text or email
Manufacturer Claim Submissions
For manufacturer warranties, RetailGenie generates the documentation you need to submit a claim to the vendor: original purchase date, product details, proof of defect, and customer information. This saves significant admin time compared to manually gathering this information for each claim.
